Job Summary

Performs varied secretarial and data entry services. Acts as receptionist. This position is full-time, 40 hours a week, Monday - Friday, 8:30 am - 5:00 pm, with a half hour for lunch. Position is located in Piscataway, NJ. Responsible for inputting customers’ purchase orders, maintaining orders & invoicing for customers’ using web-based purchase order software, maintaining shipping quotes and schedule shipments for customers’ using web-based shipping software.

Responsibilities and Duties

• Interact with customers, vendors, & visitors
• Excellent oral & written communication skills.

• Answer telephones and transfer to appropriate staff member
• Sign for and distribute UPS/Fed Ex or similarly delivered packages
• Perform general clerical duties to include, but not limited to copying, faxing, mailing and filing
• File and retrieve documents & invoices, as needed
• Create and modify documents such as sales orders, invoices, reports, memos, letters, customer quotes using word processing, spreadsheet, database and other company software and web-based software
• May conduct research, compile data, and prepare papers for the president or operations manager
• Support staff in assigned project-based work
• Other duties as assigned by president and operations manager

Knowledge of marketing including use of the internet (e-mail, Facebook)

Qualifications and Skills

• At least two (2) years experience in general office responsibilities and procedures
• Sunny disposition
• Able to deal with a variety of customers professionally and cheerfully, even under pressure
• Skilled in word-processing (Microsoft word), data entry (Microsoft Excel), and receptionist duties
• Knowledge of principles & practices of basic office management & organization
• Ability to work well either alone or as a part of a team
• Able to understand & follow simple oral and written instructions
• Ability to learn new software programs
• Provide strong problem solving abilities and can multi-task
